Allocating support workers to students is a problem for everyone at the start of term. People using StudentRelate for support worker timetabling however can now make correct appointments as soon as the student timetable transfer files are checked and released. The savings are substantial and the improvement in service is unbeatable. The standard printout from StudentRelate is a full term of lectures displayed in standard timetable format with all support-worker allocations printed for each student as soon as the allocation is complete. It can be e-mailed or printed out if a paper copy is required.
To create such a powerful time-saving tool, the StudentRelate designers first needed to understand the problem. Managing the appointments of classroom support workers could be handled manually by one staff member when there were 20 to 30 support workers. As soon as the task grows beyond the scope of one large sheet or one Excel spreadsheet there is a problem of making mistakes and letting students down. A failure at the wrong moment can give rise to a lawsuit so it's dangerous to let this problem get out of control. Adding an extra staff member solves some problems and creates others (like misunderstandings) especially if you are using part-time administration staff. It very quickly becomes a task that needs a database and the StudentRelate support worker timetabling system is the solution.
When the system was originally designed the data entry templates for students and support workers required considerably less data entry work than an Excel system and certainly more effective than paper. Also at that time very few universities were standardized on one timetable creation system, but in recent years that has been changing. Also, the timing of the last changes to timetables was a problem when it is allowed to drag on into the first weeks of term. For institutions using the Syllabus Plus system there is now an import module which means that all the timetables that are complete can be imported into StudentRelate as they are released. Compatibility with other timetabling standards is planned.
