Student Disability Systems need to be intuitive and fast05/09/2009
When it was clear that a database approach would be right for managing disability services we decided to have a system specially constructed for us.
When it was delivered, many of the functions we needed turned out not to be easy to use in practice. They did what we asked for but no-one had anticipated the pressure we are under to work quickly especially when a student is sitting with you and you are making notes. Just having a screen is not enough. The system selected for us by acknowledged experts looked good until October when the students arrived. It was impossible. The best way to describe the system was to say that it was ‘clunky', but we had not been able to see that when the experts showed it to us. What was very annoying and which we had not anticipated, is that saving e-mails as part of the student's service details required too many steps and mouse-clicks.
We became disillusioned as we had expected to make time savings compared to the old paper system. In the beginning it was a benefit to see student data on a PC screen in a form of our design. This was a major improvement. We had several standard reports programmed for us and that was a big improvement, but we were always being asked for new reports that were not part of the system and we had to pay to have IT experts come back.
We spent a great deal and had to accept the inefficiencies for over 2 years before we could propose a move to StudentRelate which we confirmed by visiting people who use it. It really is easy to use and it really does implement quickly.
